Terms of Service

1. Definitions

• Shelfiko — the AI-powered inventory assistant service operated at shelfiko.com
• Service Provider — the operator of Shelfiko, reachable at contact@shelfiko.com
• User — any individual or legal entity using the Service
• Manager — a User with administrative rights over a company account
• Employee — a User added by a Manager with limited access rights
• Subscription — paid access to the Service under a chosen plan

2. Account Registration

• Registration requires a valid email address, your name, and company name
• Each company may have one account. Managers may add Employee accounts
• You are responsible for maintaining the security of your password
• You may not share login credentials with parties outside your company
• You must be at least 18 years old to create an account
• If you suspect a security breach, change your password immediately and contact us

3. Acceptable Use

Permitted use

• Using the Service to query your uploaded inventory data
• Uploading your own business inventory files (CSV, XLSX, PDF)
• Allowing your employees to use the Service under your account

Prohibited use

• Uploading files containing illegal, harmful, or third-party confidential data without authorisation
• Attempting to reverse engineer, scrape, or disrupt the Service
• Using the Service for any illegal purpose or in violation of applicable law
• Reselling or sublicensing access to the Service without written consent
• Attempting to circumvent token limits or usage restrictions

4. Subscription and Payments

Shelfiko offers a free tier and paid subscription plans. Paid subscriptions are processed by Polar, who acts as the Merchant of Record for all transactions.

• The free plan includes a limited number of AI queries (input tokens). Once exhausted, an upgrade is required
• Paid subscriptions are billed monthly in advance
• Prices are listed in USD. Currency conversion is handled by the payment processor
• Subscriptions automatically renew unless cancelled before the renewal date
• Refunds are handled on a case-by-case basis — contact contact@shelfiko.com within 7 days of a charge

5. Data and Privacy

Your uploaded inventory data is stored securely and used exclusively to power your AI queries. We do not use your data to train AI models or share it with third parties. See our Privacy Policy for full details.

• Chat history is retained for 30 days, then automatically deleted
• You may delete your account and all associated data at any time from Settings
• We use Anthropic's Claude API to process your queries — your data is subject to Anthropic's data processing terms

6. Service Availability

We aim to maintain high availability but do not guarantee uninterrupted access to the Service. We reserve the right to perform maintenance, updates, or suspend the Service with reasonable notice where possible.

7. Intellectual Property

The Shelfiko platform, including its design, code, and branding, is the intellectual property of the Service Provider. You retain full ownership of your uploaded inventory data.

8. Limitation of Liability

The Service is provided "as is." We are not liable for any indirect, incidental, or consequential damages arising from use of the Service. AI-generated responses are for informational purposes and may not always be accurate — always verify critical business decisions independently.

Our maximum liability to you for any claim shall not exceed the amount you paid for the Service in the 3 months preceding the claim.

9. Termination

We reserve the right to suspend or terminate accounts that violate these Terms. You may cancel your account at any time. Upon termination, your data will be deleted within 30 days.

10. Changes to Terms

We may update these Terms from time to time. We will notify users of material changes via email or in-app notification. Continued use of the Service after changes constitutes acceptance of the updated Terms.

11. Governing Law

These Terms are governed by the laws of Poland. Any disputes shall be resolved in the courts of Poland, unless otherwise required by applicable consumer protection law in your jurisdiction.
